Introduction

This privacy statement outlines how Kiwi Health Jobs (KHJ: referred to as “we” and “us”) may collect, store, use and share your personal information when you register for an account using these websites and engage in the recruitment process in accordance with the Privacy Act 2020 and Health Information Privacy Code 2020.

KHJ is owned by Health New Zealand | Te Whatu Ora and the New Zealand Blood Service. KHJ operates clinical e-recruitment portals on the following websites (referred to in this privacy statement as websites):

  1. careers.tewhatuora.govt.nz
  2. Kiwihealthjobs.com

KHJ manages the recruitment process.

Browsing the websites

You can use the websites without disclosing any personal information. Unless you become a registered user of our e- recruitment portals, we do not collect information that identifies you personally.

What personal information we collect

We collect personal information directly from you when you:

  • register to use our e- recruitment portals,
  • when you submit a recruitment application, and
  • when you communicate with us.

This may include:

  • Your full name
  • Your contact information
  • Your address
  • Demographic information (age, ethnicity, gender)
  • Records of your interactions with us (email, phone)
  • Your job or location preferences
  • Your profession or skill sets
  • Your vaccination information - as employers, Health NZ and New Zealand Blood Service have an obligation to eliminate or minimise the risk of harm to workers, patients, whānau, and others from infectious diseases (such as COVID- 19) in so far as practicable. We may ask for your vaccination information to ensure you meet the pre- employment policy obligations of these agencies.
  • Any other information you provide to us.

Mandatory Collection of Personal Information

Register to use the portals: To register to use our e- recruitment portals you must provide us with certain information, such as your full name and email address. If you do not wish to provide us with this information you will be unable to register for an account. The mandatory fields are marked with an asterisk (*).

Applying for a role: You need to be a registered user to apply for a role. To complete your application, you must provide us with certain information such as your full name, email address, phone number, demographic information, clinical registrations, work eligibility etc. If you do not wish to provide us with certain information, you may not be able to submit your application online and/or we may not be able to progress your application for a role. The mandatory fields are marked with an asterisk (*).

Beyond the mandatory fields, what information you provide is completely up to you, and you don’t have to tell us anything you don’t want to. However, the more information you can give us, the better enabled we are to find you suitable job opportunities.

Communicating with us: When you communicate with us, the information you provide is completely up to you. However, the more information you can give us, the better enabled we are to identify you and ensure we provide you with an adequate service.

Only if you choose to do so – any information you choose to provide may be used to send you job alerts and provide your application to potential employers.


How we use the personal information

We may use your personal information to:

  • Create a user account.
  • Assess your application for a role and progress you through the recruitment process as applicable.
  • Communicate with you.
  • Notify and/or match you with potential employers.
  • Notify and/or match you with potential vacancies.
  • Develop and improve our services and marketing.

Sharing the information

KHJ may share your personal information with Health NZ or the New Zealand Blood Service as applicable (where they are the employer for a role you’re applying for). Otherwise, we will not disclose your personal information to other government agencies or other organisations without your consent, unless this is required or allowed by law. For example, where we believe the disclosure is necessary to prevent or lessen a serious threat to someone’s safety.

Talent Network

You can subscribe to our Talent Network to make your CV searchable by Health NZ for other roles by selecting “Yes, I would like to join the talent network” on the recruitment portal when registering.

Subscribe to job Notifications

You can subscribe to be updated about job opportunities with Health NZ and the New Zealand Blood Service by ticking either of the following boxes when registering:

  • I agree to receive emails informing me of other opportunities
  • I agree to be contacted by text message

Employment Opportunities with Other Agencies

You can opt in to KHJ sharing your personal information with external agencies outside of Health NZ for the purposes of exploring further employment opportunities when you register for an account by selecting “Yes” to the question that asks: “Do you consent to have your information shared with agencies outside of Health New Zealand?”.

You can opt out of this information sharing at any time by logging into your user account at Kiwihealthjobs.com or jobs.tewhatuora.govt.nz , and visiting the “My Profile” page form, where you can:

  • select “No, I do not want to join the talent network”
  • select “No” to the question that asks: “Do you consent to have your information shared with agencies outside of Health New Zealand?”
  • untick the box that says “I agree to receive email informing me of other opportunities” or “I agree to be contacted by SMS”.

If you’re not able to opt out yourself, you can also email info@kiwihealthjobs.com and asking them to manually remove you.


How long we hold information

We only keep your personal information for as long as required for the purposes outlined in this privacy statement and in accordance with the law.


Storing information securely

We take reasonable steps to ensure your personal information is protected against loss, unauthorised access, use, modification, disclosure, or other misuse.

Your information is stored on a private and secure network in New Zealand and on international cloud servers in accordance with the Privacy Act 2020 and any agents who have access to information will be subject to our information security and privacy requirements.


Access to and requests to correct the information

You have the right to access any information that we hold about you, and to correct it if it’s wrong. To access any personal information held by us, or if you have any concerns about personal information that we hold and wish to request its correction, please contact us.

When making a request to access or change your information, please include:

  • your name
  • contact address (email or postal)
  • contact phone number
  • details of the information you want or want to correct - this needs to be as clear and specific as you can make it. We may ask you for more details.

Please note that before we can provide you with your information or make any changes, we need to be satisfied about your identity. To do so, we may need to ask you further questions or to view identification.

Requesting information on behalf of someone else

If you are requesting information on behalf of someone else, you will need to provide their authorisation or other documentation to support that you have the right to do so.

Correcting your information

We will work with you to make any necessary corrections.

Where we are unable to change the information or do not agree that it needs to be changed, you can provide us with a statement of correction. This is a statement outlining what information you believe is wrong and explaining what it should be. We will attach this to the relevant document so that it is read alongside the disputed information.
