About the Role:
As a Clinical Records Clerk, you will play a vital role in ensuring the efficient management of patient records and information within our Mental Health Services. You will provide high-quality reception and telephone call management services while maintaining data integrity and confidentiality. Your responsibilities will include processing patient information, managing medical records, updating tracking systems, and assisting with data integrity tasks.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 3/Profile 3

Key Responsibilities:
- Supply of Information - Process daily record requests and manage information sharing between regions.
- Medical Record Management - Maintain accurate tracking of patient files, process returned records and combine unit files into main records.
- Filing & Organisation - Ensure timely and accurate filing, recover records, and maintain filing standards.
- Data Integrity & Administration - Update patient demographics, investigate duplicate records, and liaise with MoH Data Management.
- Reception & Communication - Manage phone calls, process mail, and compile monthly statistics.
- Office Support - Assist with medical record audits, send out forms, and support other administrative functions as required.
Qualifications & Experience:
Essential:
- Proven experience as an administrator in a complex organisation.
- Strong computer skills, including proficiency in Microsoft Word and Excel.
- A client-focused approach with excellent communication skills.
- Ability to work both independently and as part of a team.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Understanding of the Treaty of Waitangi and cultural considerations in healthcare.
- A professional and proactive attitude towards work.
Desirable:
- Experience with National Health Computer Systems and Patient Management Systems.
- Knowledge of terminal digit filing systems.
- Understanding of the Health Privacy Code.
- Previous experience in a healthcare or community health setting.
- Proficiency in Access, Visio, and PowerPoint.
